Privacy policy
Ollie is a voice and chat work assistant for invited members of our team. Accounts are by invitation only; Ollie isn't offered to the public or to children. This page explains what Ollie does with your information, who processes it, and how to stop processing or delete your account.
The short version. Ollie sends your messages, files, memory and the content of services you connect to Anthropic, and your voice and dictation to OpenAI, so their AI models can answer you. If you connect Kling AI and request image or video generation, your instructions and selected files go to Kling AI. It does this only after you choose Allow AI processing. You can stop AI processing or delete your account in the app at any time (Settings → Privacy, or Settings → Profile → Delete account).
Website early-access sign-ups
The public website accepts requests for early access. If you sign up, we store your name, email address, Mac/iPhone preference, the date, and the version of the notice you accepted in our Supabase database. We use these details to contact you about Ollie access and launch updates, with your consent. Signing up does not create an app account or give Ollie access to your email, calendar or files. We do not sell this list or share it with AI providers. Authorized operators can review requests. The website uses a temporary rate limit to reduce abuse; visitor IP addresses are not saved with sign-ups.
The website's pages are hosted by Vercel, which receives the request details any website host sees (such as your IP address and browser) to deliver them. A sign-up goes from your browser straight to Ollie's server on Fly.io, not through Vercel.
Contact IT@oneluxuryint.com to withdraw your request, stop launch updates, or have your sign-up removed. We keep it until access is offered or you ask for removal. The website does not use advertising trackers or analytics cookies.
What Ollie collects
- Account: your work email, name, sign-in method, role, time zone, and the profile details you enter (role, market, responsibilities, home location).
- Conversations: messages you type or dictate, transcripts of voice calls, Ollie's answers, and which tools Ollie used.
- Files: photos, PDFs and documents you share, documents Ollie makes for you, and attachments Ollie saves from email, kept in your Library.
- Memory: facts and preferences Ollie remembers about you and your work, so later answers can use them. You can read your memory in Settings → Memory and clear it.
- Transaction records: deal details, dates and documents you ask Ollie to track.
- Connected services: when you connect Gmail, Google Calendar, Google Drive, ONE Hub, Todoist, HubSpot or another service, Ollie reads the content it needs to answer you (emails, events, files, records). Sign-in tokens for those services are stored encrypted. Ollie acts on your requests: drafts, memory and task updates can be saved directly. Sending and other consequential actions require approval. You can allow selected tools for a conversation and revoke that permission in the app.
- Usage: how many tokens and how much voice time each answer used, and its cost, for weekly limits.
- Device: a push-notification token for each device you use.
- Support: the contact information and response excerpt you choose to send when reporting a problem. You can edit the report and remove unrelated information before sending it.
Optional device permissions
Ollie asks for each one only when you use the feature that needs it, and works without them.
- Microphone: voice calls and dictation.
- Calendar: if you turn on Apple Calendar, Ollie reads and, with your OK, changes events on this device when you ask.
- Location: when you choose “Use my current location”, your town is saved as your home location for weather and local questions. Ollie doesn't track your location.
- Camera and photos: to attach a photo you choose.
- Notifications: to tell you when Ollie answers, a follow-up is due, or important mail arrives.
Who processes your information
| Provider | What for |
|---|---|
| Anthropic | Claude models answer your chats and do the work you ask for. Anthropic receives your messages, files, memory, transaction records and the connected-service content Ollie reads, and holds your assistant sessions, uploaded files, memory and connected-service credentials for Ollie. |
| OpenAI | Voice calls (audio and transcripts) and dictation (speech to text). |
| Kling AI (optional) | Generates images and videos when you connect it and request that work. It receives the generation instructions and any photos or files you ask it to use. |
| Supabase | Sign-in, the database and file storage for everything listed above. |
| Fly.io | Runs Ollie's server, which passes your requests between the app and these providers. |
| Apple | Delivers notifications, which can include a short excerpt of Ollie's reply. |
| Gmail, Calendar and Drive if you connect them (see “Information from Google” below); Google Maps place searches and drive times when you ask. | |
| Sentry | Crash and error reports, when enabled: the error, where it happened and the device model. Server reports can include an internal account or record identifier for troubleshooting. Message content, email addresses and sign-in tokens are removed before reports are sent. |
| National Weather Service and OpenStreetMap | Weather lookups for a place you ask about. |
Services you connect (ONE Hub, Todoist, HubSpot and others) receive the requests Ollie makes on your behalf and handle them under their own terms. None of these providers may use your information to advertise to you. We don't sell your information.
Information from Google
When you connect a Google account, Ollie asks Google only for what its features use:
- Gmail (read, organize and draft; send only after you approve): to search, summarize and triage your mail, save attachments you ask for, write drafts and, with your OK, send or reply. Ollie also uses your email address to show which account is connected.
- Google Calendar (your calendar list and events): to answer questions about your schedule and, with your OK, create or change events.
- Google Drive: to find and read the files you ask about and save documents Ollie makes for you into the folder you choose.
Ollie's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:
- Google user data is used only to provide and improve the features you use in Ollie, as described above.
- It is passed to the providers listed above (Anthropic, Supabase, Fly.io) only as needed to answer you, for security, or to comply with law.
- It isn't sold, used for advertising, or used to judge creditworthiness or for lending.
- It isn't used to develop, improve or train generalized AI or machine-learning models, by us or by our AI providers.
- No person reads it unless you ask us to (for example, in a support request you send), it's needed for security or abuse investigation, or the law requires it.
You can disconnect Google in Settings → Connections, or revoke Ollie's access at myaccount.google.com/permissions. Deleting your account removes the Google sign-in tokens and the Google content Ollie stored.
Work Ollie does in the background
After you allow AI processing, Ollie can work when the app is closed: reminders and scheduled tasks you ask for, an email check every few minutes within the hours you choose (if you turn it on), and a nightly tidy of your memory. All of it pauses when you stop AI processing.
Who can see your information
Other members can't see your conversations, files or memory. Team admins see usage and cost totals, not content. If you explicitly share a custom connection, the people you select can use the access you share; that does not share your Ollie conversations or memory. Authorized administrators of Ollie's infrastructure and of the providers above may be able to access stored information to run, secure or fix the service. Information is encrypted in transit and at rest by these providers; Ollie is not end-to-end encrypted, and it doesn't offer zero data retention.
Check AI output
Ollie can be wrong. Contract terms, dates, figures and documents it produces must be reviewed by a qualified professional before you rely on them or send them to anyone.
Retention
- Your information is kept while your account exists, unless you delete it sooner (a conversation's files in your Library, your memory in Settings → Memory).
- When you delete your account, Ollie removes your conversations, memory, files, connected-service credentials and personal records from Ollie's database, storage and its Anthropic resources, and removes your invitation. Originals in Gmail, Google Calendar, ONE Hub and other connected services are not changed.
- Copies can remain for a limited time in database backups and in providers' own logs kept for safety and abuse monitoring (for example, Anthropic and OpenAI keep API data for a limited period under their commercial terms), after which they expire.
- A minimal record that a deletion happened (its date and an internal id, with no content) and anonymized operational logs are kept to show the request was carried out.
- Support emails are kept separately from your Ollie account for handling the request and documenting its resolution. Contact support to request removal; records needed to meet legal obligations may be retained.
Your choices
- Stop AI processing: Settings → Privacy. Calls, assistant work, email checks, follow-ups and memory tidying stop on all your devices. Your stored information is kept until you delete it.
- Delete your account: Settings → Profile → Delete account. It starts right away and finishes automatically; you'll get an email when it's done. You don't need to contact anyone.
- Disconnect a service in Settings → Connections at any time.
- Questions or requests: email IT@oneluxuryint.com.
Changes
If this policy changes in a way that matters, Ollie asks you to review it and allow AI processing again before it continues.
